2 Technical Communication – CZA4 Task 1: Audience Analysis PART A Identification of Work Scenario and Audience One Work scenario 2 is selected for this task. The first audience is the CIO. I chose this scenario as it is (partially) in line with my previous project experiences. I chose to address the CIO as it is a critical to get the approval to start the project before any more effort is expended on it. Audience One Message Summary and Justification The message to the CIO will be a proposal for updating the company’s automotive finance software portfolio system. The communication will need to effectively address the following components. The proposal for updating the system aligns with the CIO's responsibility to drive technological growth and innovation within the company. The CIO understands the technical intricacies of the current system's challenges due to outdated technology and lack of updates. 1. Justification for Updating the System: Several strategic issues that must be addressed by the upper leadership will be presented as justification for updating the system: The current system suffers from a lack of updates and outdated technology infrastructure. The lack of updates presents security risks, the current feature set of the system does not completely meet the operational needs of the organization, and the outdate technology severely impacts the competitiveness of the organization. 2. Two Risks and Two Benefits: Some risks are operational downtime during the transition and potential integration challenges leading to reduced productivity during the fine tuning phase. Some benefits include risk management through vendor updates and enhanced competitiveness through streamlined processes with the new feature set that is more in line with operational needs.
3 3. Proposed Timeline and Rationale: A phased implementation plan will be outlined, covering vendor selection, evaluation, implementation planning, training, testing, and fine-tuning. The overall timeline will cover 12 months. Month 1: Vendor Selection Month 3: Vendor Evaluation Month 5: Implementation Planning Month 7: Implementation and Training Month 11: Testing/Fine Tuning This timeline is to ensure a smooth transition that minimizes disruptions and maximizes functionality. The long terms for the vendor phase and the implementation planning phase may allow for shortening of the project timeline as well, or spend extra time on the critical Implementation and Training phase. A timeline must be sent so that the CIO can ensure alignment with strategic planning and that proper resources are allocated to the project for success. Audience One Receptivity The CIO is likely to be receptive to the message. The CIO already understands the technical issues caused by the lack of software updates and outdated technology infrastructure. This understanding demonstrates their awareness of the challenges faced by the IT team. Additionally, the CIO's role as a technology leader and their focus on technological growth align well with the proposed solution of updating the software portfolio system. The message will emphasize the need for improved competitiveness and highlight the CIO's role in driving innovation, which resonates with their responsibilities. Therefore, given the CIO's technical insight and strategic focus, they are likely to be open to the message. Audience One Hypothetical Characteristic A possible characteristic of the CIO that would lower the receptivity would be a cautious approach toward new technology investments. The message would need to be adjusted to provide further emphasis on the financial aspect of the project and the potentials risks associated
